What you’ll build

Step 1 — Add the Capacity custom field
- Open any List → … → Custom Fields → + New → Number and name it
Weekly Capacity (hrs). - Set each person’s realistic billable capacity (e.g., 32 hrs for a developer after meetings).
- Save it at the Space level so every List in that Space inherits it.
Why a number field instead of guessing? Because the Workload view computes utilization only if every task has an estimate and every person has a capacity. Without this field, the board shows bars with no denominator — useless.
Step 2 — Estimate every task in hours
- Add a second Number field:
Estimate (hrs). - Make it mandatory on task creation (Space settings → required fields).
- Train the team: a task with no estimate doesn’t enter the board.
A resource board is only as honest as its estimates. A 2-hour task logged as “1 day” poisons the whole utilization calc. Enforce estimates early.
Step 3 — Build the Workload view
- In the Space, click + View → Workload.
- Group by Assignee, sum by Estimate (hrs), compare against Weekly Capacity (hrs).
- Set the time range to “This week.”
Now each person is a row with a bar. Green = under capacity, red = over. This single view replaces the weekly “who’s swamped?” standup.
Step 4 — Create the over-capacity filter
- In the Workload view, add a Filter:
Estimate (sum) / Weekly Capacity > 1.0. - Save it as
Over capacity this week. - Share that filtered view with the manager only.

Step 5 — Automate the Friday nudge
- Automation:
Every Friday 4pm → If any Assignee's weekly utilization > 110% → Comment to [Manager]: "X is at 118% — rebalance before Monday." - Higher plans allow more automation runs per month, but this one runs comfortably on Business.

If your team is under 10 people, the blunt call is Business at $12/user/mo, not Unlimited ($7) and not Business Plus ($19). Unlimited has no Workload view, so you literally cannot build this board there — you’d be estimating in spreadsheets. Business unlocks Workload, Timeline, and Guest permissions, which is everything a sub-10 team needs for capacity planning.
